Redmond Toddler Group is a non profit organization sponsored by Lake Washington Institute of Technology (LWTech). We are run by a board of directors who work together to supervise daily activities in the organization. Additionally, each class has a parent leader who takes on the role of helping and guiding their class by collecting tuition, setting up playdates and helping the teachers pass along important information. Above all, by working together with our teachers and students of the RTG community, we hope to provide up to date parenting information and a fun and safe environment for toddlers.

Redmond Toddler Group – Board of Director Responsibilities

President: The President shall:

(1) Preside over all the meetings of the cooperative and of the Board of Directors.

(2) Call special meetings of the Board of Directors.

(3) Appoint such committees as the Board of Directors may deem advisable for the proper conduct of the cooperative.

(4) Work with Teacher-Advisors to resolve conflicts within membership.

(5) Perform all acts and duties usually performed by a presiding officer.

(6) Be a signer on the bank account.

Registrar: The Register shall:

(1) Act as the Vice President. In the absence or disability of the President, the Vice President shall perform the duties of the President; however, in the case of death or resignation, the Board of Directors may declare the office of President vacant and hold elections.

(2) Correspond with, register and keep current class lists of all students.

(3) Check school email and voicemail, and answer questions from prospective students about the program.

(4) Attend Open Houses to assist with registering new students.

(5) Be a signer on the bank account.

Treasurer: The Treasurer shall:

(1) Be responsible for the deposits, safekeeping, and disbursement of all money in the cooperative, and maintain accurate records of all transactions. This includes, but is not limited to, depositing checks (tuition, donations, fundraisers) and paying the school’s bills (teacher salaries, rent, & services).

(2) Work with a hired accountant to prepare an annual budget, keep the budget balanced, apply for loans as needed, and file taxes.

(3) At the expiration of the term, promptly turn over all money, property, books, and records pertaining to the office.

(4) Be a signer on the bank account.

Secretary: The Secretary shall:

(1) Keep a full and complete record of all meetings of the cooperative, which he or she shall then type up and email to all Board Members within a week after the meeting.

(2) Maintain and safeguard association records, and serve notices of the cooperative bylaws when needed.

(3) Sign and supervise papers regarding the cooperative when authorized or directed by the Board Members.

(4) Assist in coordinating Preschool Information Night (January) with the teachers.

(5) At the expiration of the term, promptly turn over all records to the successor.

Fundraiser: The Fundraiser shall:

(1) Help raise funds for the cooperative throughout the year, including but not limited to raising donations for the Carnival’s raffle and auction baskets (held every March), planning restaurant benefits (such as Mod Pizza), and organizing a fall fundraiser.

(2) Manage “thank you” letters for donations, and send “thank you” flyers to the Social Media board member to post.

(3) Send all fundraising flyers to the Social Media board member for posting and contact the Publicity board member to submit written articles to local forums (ParentMap, City of Redmond, etc).   

(4) Be a signer on the bank account.

Librarian: The Librarian shall:

(1) Manage circulation, organization, and online cataloging of the non-fiction and children’s book bag collections.

(2) Regularly review the book log to ensure books are returned in a timely manner and contact borrowers who have overdue material; alternately, institute an electronic circulation system and monitor activity there, while answering any technical questions from parents and teachers and distributing new user login information.

(3) Weed the collection as needed for outdated and damaged materials. Consult with teachers before physically removing or adding any material.

Publicity: The Publicist shall:

(1) Update and distribute school flyers, posters, and brochures to local magazines, recreation guides, libraries, coffee shops, and other local venues to raise awareness and excitement for the school. Additionally, provide updated copies to the Board Members and Teachers.

(2) Create Open House and Sample Class flyers as requested by teachers and post them to local venues as described above. Share the flyer with the Social Media board member.

(3) Update school signage and community bulletin board as needed.

(4) Create Carnival and Derby Day flyers and share them with the Board Members.

(5) Setup a farmer’s market table during the summer to promote the school. Purchase school-branded merchandise and ensure there are brochures and coloring activities printed to draw attention to the the booth. 

Webmaster: The Webmaster shall:

(1) Be responsible for updating the cooperative’s website, including but not limited to uploading photos of the current year, editing the board member list, updating the current year’s tuition and class enrollment information, and posting the current year’s carnival sponsors.

(2) Be familiar with WordPress, and basic HTML.  

(3) Coordinate with the Social Media, Fundraiser, and Publicist board members to update the website with the latest news.

(4) Update software and apps when needed. Make back up copies of the website and it’s content.

(5) Troubleshoot malware on the website.

Scholastic Chair: The Scholastic member shall:

(1) Market and manage all Scholastic orders. Coordinate with the teachers and Board Members to schedule Scholastic sales drives throughout the year.

(2) Organize book order shipments by class and last name as they come in.

(3) Keep a record of all bonus points earned through Scholastic and coordinate the usage of these points toward books for Carnival.

Carnival Chair: The Carnival member shall:

 (1) Manage carnival logistics and update the Board Members in regards to location reservation and venue charges and restrictions. 

(2) Order prizes, create venue signage, organize the setup, and help schedule the parent volunteers into shifts.

(3) Work with the Publicist board member to advertise the carnival and update the flyers.

(4) Be present during the entire carnival event, including setup and cleanup.

Purchaser: The Purchaser shall:

(1) Monitor inventory levels and oversees purchase of general supplies.

(2) Work with teachers as needed to procure board approved toys and/or equipment for classroomWorks with teachers as needed to procure board approved toys and/or equipment for classroom.

(3) Arrange for the carpet and linoleum to be cleaned annually in late summer before school begins.

(4) Check for needed repairs around the classroom and burned out light bulbs.

(5) Annually update emergency kit, as needed and ensures first aid kit is complete and up to date.

Social Media Chair: The Social Media member shall:

(1) Be the administrator on all social media (Facebook, Instagram & Yelp) and manage all postings and communication that goes through social media.

(2) Coordinate with the Fundraiser and Publicist to gather flyers and post them at appropriate times.

(3) Share and advertise the cooperative’s social media groups to local parenting forums.

(4) Build a following by posting marketing videos and discussion topics. Verify that pictures and videos contain students that have signed off on the photo release.
